Procedures Writer and Administrative/HR Assistant
Edmonton Seniors Coordinating Council requires a summer student with excellent communication, organizing and writing skills to undertake the following:
Responsibilities:
- Become familiar with existing written procedures, policies and file management systems
- Meet with supervisor and other coworkers to acquire a good understanding of each project/program and the related existing procedures, policies and file management practices. Cooperatively identify gaps, duplication, and areas for
- Work independently to write/draft procedures and instructions consistent with program needs
- Present drafts to designated coworkers; discuss any edits and make changes as necessary
- Work closely with HR staff to ensure employees and volunteers are able to utilize updated written procedures
- In collaboration with other staff, review and assist with updates to orientation This may entail organizing existing and/or creating new documents/tools for use by staff and volunteers regarding the organization, specific projects and/or roles.
- In consultation with coworkers, examine existing records management systems with an eye to potential improvements (to filing protocols, logical and accessible locations, etc )
- Recommend improvements and follow through with updates as directed by supervisor. This may involve independent work and/or coordinating multiple staff to cooperatively complete the updates.
- Assist with data entry (or data cleaning) as requested to update specific records
- Depending on the organization's calendar of activities, may assist with event planning, hosting, note taking at meetings/events. (e.g. online via Zoom or in-person)
Experience and Skills:
- Excellent listening and verbal communication skills
- Superior composition and editing abilities
- Highly organized and capable of creating organizational systems that others can easily utilize
- Ability to take complex or multi-stepped procedures and prepare a simple, clear communication
- Ability to manage updates/revisions to ensure accuracy, relevance and consistency
- Understanding of how to handle confidential information
- Detail oriented and imaginative
- Self-motivated and able to work independently
- Ability to work collaboratively as a team member
- Familiarity with the not-for-profit sector is an asset
- Proficiency with Microsoft Office Suite; MS Teams and familiarity with Zoom.
Education (working towards a degree or diploma in):
- Human Resource Management
- Writing/Editing
- Library Sciences or Records Management
- Education
- Office Administration Specialist
- Or related
- Must be returning to full time classes in fall 2022
Additional Information:
- This is an 8-week summer position with a flexible start {June 13 possible) and end {August 5 possible) dates.
- Rate of Pay: $20/hr
